Employee On-boarding / De-boarding - Essentials Here are some essentials that every company should follow for Employee/Intern On-boarding / De-boarding Basics must be accomplished once an Employee/Intern joins the team. Please ensure these checkboxes are marked before the employee joins. - [ ] Offer letter - [ ] If a Sign-on bonus & Dedicated Equipment is sent out to an employee make sure to keep a log of it - [ ] NDA [Non-Disclosure Agreement] - [ ] Make sure the employee submits his documents - [ ] Aadhar Card [Copy] - [ ] Pan Card [Copy] - [ ] Passport Sized Photo - [ ] Resume / CV Copy - [ ] Tax Declarations - [ ] Declaration of income from the previous employer - [ ] Resignation/Termination/Experience letter from the Previous employer - [ ] Pay Slips of last 3 months & Form 16 - [ ] Payroll - Bank Account details are shared with the HR/Accounting Department - [ ] Make sure to log all the relevant joining date info on Employee DB & store the documents in dedicated Google Drive folders - [ ] Create a Company Email Address - [ ] Invite him/her to Slack/MS Steams - [ ] Share App benefits/invites to the official company email address - [ ] Health Insurance Benefits to be shared with only Full-time Employee after completion of the 3-month probation period or minimum employment term period Employee Deboarding Once an employee or intern leaves the team, the basics must be accomplished. Please ensure these checkboxes are marked before the employee leaves. - [ ] A backup is made of all the active projects and shared with the Manager / Management - [ ] Dedicated Equipment is dispatched back to the office - [ ] Proper Knowledge-transfer is initiated by the employee - [ ] Application Subscriptions & Health Insurance Subscription is to be cancelled - [ ] An exit Interview is conducted - [ ] Employee Relieving Letter & Experience Letter is dispatched - [ ] Full and Final Settlement is cleared
